Party RSVP Reminder Wording: Polite Messages & Follow-Ups

An RSVP reminder works best when it makes replying easy. Tell guests which event you mean, when you need the answer and exactly how to respond.

Check the guest list before sending anything

Update replies received by text, phone, email or a relative helping with invitations. Mark confirmed answers in one list so people do not receive a reminder after they have already replied. Keep the original invitation details beside the tracker.

Contact only the people who need the message. A private reminder avoids sharing phone numbers or singling out nonresponders in a group chat. If more than one person is hosting, agree who will handle follow-ups.

Choose a deadline that serves a real purpose

Work backward from the date you must confirm the venue, food, activity materials or other arrangements. Leave yourself time to handle missing replies. There is no single deadline that suits every party, and a template’s sample date should not decide it for you.

You can send one friendly reminder as the deadline approaches, then a direct follow-up afterward if needed. The timing depends on the booking requirements and your relationship with the guest; repeated messages every day are unlikely to make planning easier.

Before the RSVP deadline

Hi [Name], a quick reminder about [Child]’s birthday on [Date]. Could you let me know by [Deadline] whether [Invited names] can come? You can reply here. We would love to see you.

Use specific invited names when a household has several children. Do not turn the reminder into an invitation for extra guests unless you intend to include them.

After the deadline

Hi [Name], I am confirming numbers for [Event] and have not found your reply yet. Please let me know by [New cutoff] whether [Invited names] will attend. If you have already replied elsewhere, thank you—please point me to the message so I can update the list.

If the booking has a firm cutoff, explain it honestly. Do not invent a venue restriction or a penalty to pressure someone into responding.

For a baby or bridal shower

Hello [Name], we are looking forward to celebrating [Guest of honor] on [Date]. Could you confirm by [Deadline] whether you will be joining us? Please reply to [Contact method]. Thank you for helping us plan.

Do not include registry requests or extra gift instructions merely because you are sending a reminder. Keep this message focused on attendance unless another practical detail genuinely needs clarification.

Clarify the family head count

Thanks for saying you can come. I have [Invited child] and [Named caregiver] on the list. Could you confirm that this is the correct number for your family?

If the guest policy is unclear, explain the actual arrangement kindly. For example: “We have places booked for the children named on the invitations, so we are unable to add siblings this time.” Only use that wording if it is true.

The Invitation Wording Library includes examples for caregivers staying, drop-off arrangements and siblings. A clear original invitation reduces difficult follow-ups later.

A final party-details message is a different job

Once someone has confirmed, a short event reminder can include the date, time, location and useful arrival details. You do not need to ask for the same RSVP again.

We are looking forward to seeing you at [Event] on [Date], [Start time] to [End time], at [Address]. [One useful parking or arrival note.] Please contact [Name] at [Contact] if your plans change.

For a time or venue change, label the message clearly and ask guests to acknowledge the update. Do not silently replace the invitation image and assume everyone will notice.

Use one reliable tracker

Record invited names, reply status, confirmed adults and children, any agreed follow-up and the date of the last contact. Keep dietary or access information private and share it only with people who need it to organize the event.

Our Free Resources page lists planning tools, including guest-list and RSVP support. Check the page’s access instructions rather than assuming an automated RSVP service is included with an invitation purchase.

Prepare the invitation and reminder together

Before sending the invitation, decide who receives replies and how. If you use an editable Canva design, replace the sample RSVP contact and date, then export the correct finished version. A JPG or PNG invitation does not collect replies by itself; guests need a stated contact method or a separately configured form.

Final reminder check

  • The recipient has not already replied.
  • The event, invited names and dates are correct.
  • The deadline reflects your real planning needs.
  • The response method is easy to use.
  • The message does not reveal other guests’ contact information.
  • The tone is clear, kind and free of invented urgency.
